Comments and Questions on Official Terms and Conditions of ESF Registration


The terms and conditions of registration at the ESF have been published on the official ESF website.

While I assume much of it is standard public event restrictions, some of it needs to be questioned.

On the one hand it says "No unauthorised filming, sound recording and the like are permitted at the Forum or the Forum Site" - so the question here is, where does one obtain permission for filming or sound recording and how will this be enforced?

But at the same time it says "By registering for the Forum, attendees consent to being filmed and sound recorded for authorised TV, video, DVD, webcast and other public broadcast as part of the audience at the Forum or by onsite CCTV". Surely it should be down to media people to secure permission of people or meetings before they film or record them?

Also no where on the website is there any privacy statement about data submitted during either the registration process of the process for submitting seminar or workshop proposals. Not only should the ESF be providing an example of best (progressive?) practice in all areas, but also it needs to be clear how email and contact information will be used in the future.

Participants must also agree to being stopped and searched at any time. And if you lose or have your pass for the event stolen, it will not be replaced.


Terms and conditions of registration

1. The registration fee shall only be refunded in full if a request for refund is received within 7 days of the date of registration. Otherwise, no refunds shall be made unless the Forum is cancelled, in which case the registration fee shall be repaid in full.
2. Registration is non-transferable and duplicate registration passes will not be issued for loss or stolen passes.
3. Registration passes are only valid when purchased through UK ESF 2004 (London) Limited or its official agents. Attendees with passes brought from other sources will be refused admission to the Forum.
4. Subject matters of seminars and plenaries at the Forum may be subject to change without notice.
5. In order to facilitate the security, safety and comfort of all attendees, UK ESF 2004 (London) Limited reserve the right to refuse admission of an attendee to the Forum and refund the registration fee in full.
6. At any time during the Forum, UK ESF 2004 (London) Limited reserve the right to remove an attendee from the Forum / the Forum site, in which case the registration fee will not be refundable.
7. UK ESF 2004 (London) Limited reserve the right to search an attendee at any time if such attendee is suspected of carrying items that may be used in a dangerous or offensive manner, or carrying out illegal activities.
8. Admission to the Forum and the Forum site is at the attendee's own risk and UK ESF 2004 (London) Limited will not be held liable for any loss, injuries, or damages sustained by an attendee at the Forum if the cause of such loss, injuries or damages is due to the negligence of the attendee or the unforeseeable actions of other attendees.
9. Unauthorised trading is strictly prohibited at the Forum site.
10. No unauthorised filming, sound recording and the like are permitted at the Forum or the Forum Site.
11. No animals will be permitted at the Forum site, except guide dogs for the visually or aurally impaired.
12. By registering for the Forum, attendees consent to being filmed and sound recorded for authorised TV, video, DVD, webcast and other public broadcast as part of the audience at the Forum or by onsite CCTV.
13. Parties are advised to check their registration details upon receipt and notify UK ESF 2004 (London) Limited immediately in the event of any discrepancies.
